Every hotel operator has had this conversation with their internet provider.
Guests are complaining that the WiFi is unusable. You call the provider. They run a speed test at the demarcation point, report that the full circuit speed is being delivered, and close the ticket. The circuit is fine. The guests are still complaining.
Both things are true at once, and understanding why is the key to fixing it.
The problem is usually not your internet speed
Here is the pattern almost every struggling property shows: WiFi that is fine on a quiet Tuesday and falls apart on a sold out Saturday.
If bandwidth were the constraint, you would expect gradual degradation as more guests connect. What operators actually report is closer to a cliff. Things work, and then at some occupancy threshold they stop working, often quite suddenly.
That pattern points at capacity and radio design, not at the size of the pipe. Buying a faster circuit is the most common response to hotel WiFi complaints and one of the least effective, because it addresses a bottleneck that was not the bottleneck.
What is actually going wrong
Too many devices per access point
This is the single most common cause.
Access points have practical limits on how many devices they can serve well. Vendors publish impressive maximum client numbers, but those figures assume light use. Real world performance degrades well before the advertised ceiling, particularly when devices are streaming video.
The arithmetic catches a lot of properties out. Guests no longer arrive with one device. A couple in a room may connect two phones, two laptops, a tablet, and a streaming stick, and increasingly the room’s own smart TV is on the same network. A hundred occupied rooms is not a hundred devices. It can easily be four hundred or more.
If your wireless was designed when guests carried one laptop, the design is undersized regardless of how good the equipment was at the time.
Coverage was designed instead of capacity
There are two ways to plan a wireless network, and they produce very different results.
Coverage design asks whether there is signal everywhere. You walk the property, see full bars in every room, and conclude the network is good.
Capacity design asks how many devices need service in each area, and places access points accordingly.
A property designed for coverage will show excellent signal strength and still fail at high occupancy, because signal strength and capacity are different things. This is why “the WiFi shows full bars but nothing loads” is such a common guest complaint. The guest is telling you accurately what they see.
Radio interference between your own access points
Wireless operates on a limited number of channels. When access points are packed in without a channel plan, they interfere with each other. Devices spend time waiting rather than transmitting, and throughput falls even though every unit appears to be working normally.
In hotels this is often made worse by density. Corridor mounted access points placed close together, all broadcasting at maximum power, will step on each other. Turning power down and planning channels properly frequently improves performance more than adding hardware does.
Neighbouring businesses, guest hotspots, and older cordless equipment add to the noise, particularly in dense urban areas.
The wired network behind the wireless
Wireless is only the last few metres. Everything behind it is cable and switching, and that is where a surprising number of hotel bottlenecks live.
Common issues include access points sharing an undersized uplink back to the core, older switches that cannot handle the aggregate load, and cable runs installed for a previous generation of equipment. Modern access points can saturate connections that were entirely adequate a decade ago.
You can install excellent new access points and see very little improvement if they are all funnelling through a constrained uplink.
Ageing equipment and old standards
Wireless standards have moved considerably. Older access points lack the mechanisms newer standards use to serve many devices at once efficiently. They are not simply slower, they handle congestion less gracefully, which is exactly the failure mode that matters in a full hotel.
There is also a mixed device problem. A single very old device can consume disproportionate airtime, slowing everyone sharing that access point.
Streaming has changed the load profile
Guest behaviour changed faster than most hotel networks did. A meaningful share of guests now stream video in the evening, and that is sustained load rather than the short bursts of email and browsing that older networks were sized for.
Evening peak in a hotel now looks more like a small residential neighbourhood than an office. If in-room smart TVs are also connected wirelessly, they add to the same contention.
How to work out which one you have
Before spending money, it is worth identifying the actual constraint.
Compare occupancy against complaints. If problems track occupancy closely, you have a capacity issue rather than a circuit issue.
Test at the guest’s location. Speed tests at the server room tell you about the circuit. Speed tests from a guest room at 8pm on a busy night tell you about the guest experience. Only one of those is what the review will be about.
Count devices, not rooms. Most managed wireless systems report connected client counts. Compare peak client count against access point count. If the ratio looks high, that is your answer.
Look at the uplinks. Check whether switch ports serving access points are running near capacity during peak.
Get a site survey. A proper survey measures signal, interference, and channel usage across the building rather than guessing from a floor plan.
What a real fix looks like
Fixing hotel WiFi properly is usually a combination rather than a single change:
- Access point placement based on device density, commonly in rooms or between paired rooms rather than only in corridors
- A channel and power plan that stops your own equipment interfering with itself
- Switching and uplinks sized for what the access points can actually deliver
- Current generation hardware that handles high client counts
- Separation of guest, staff, and payment traffic, which is a security and PCI compliance requirement as well as a performance one
- Ongoing monitoring so degradation is visible before guests report it
The last point is worth emphasising. Wireless is not a system you install and forget. Occupancy changes, device counts grow, and neighbouring interference appears. Networks that are monitored stay usable. Networks that are installed and left alone drift.
Why this matters commercially
WiFi complaints show up in reviews, and they show up in the categories that prospective guests read. Unlike many operational issues, connectivity is something guests can evaluate within minutes of arrival and describe precisely.
It is also one of the few areas where a fix is durable. A property that solves its wireless capacity problem generally stops receiving those complaints entirely, rather than managing them indefinitely.
Where to go from here
If your WiFi works when the hotel is quiet and fails when it is full, the constraint is almost certainly capacity, radio design, or the wired network behind the access points. A faster circuit will not resolve any of those.

If the constraint is access point capacity, radio interference, or an undersized internal uplink, the circuit will test perfectly while guests cannot load a page.
Will upgrading our internet plan fix guest WiFi complaints? Only if bandwidth is genuinely the constraint, which is less common than operators expect. If problems appear specifically at high occupancy, more bandwidth usually changes very little.
How many access points does a hotel need? It depends on device density, construction materials, and layout rather than room count alone. Properties with heavy streaming use often need access points in or between rooms rather than relying on corridor coverage. A site survey gives a real answer.
Should hotel smart TVs use WiFi or wired connections? Wired is more reliable where cabling exists, because it removes the TVs from competing with guest devices for airtime. Wireless connection is workable but has to be accounted for in the capacity design rather than added afterward.
How often should hotel wireless be reviewed? Annually at minimum, and after any renovation, occupancy pattern change, or addition of connected devices such as smart TVs or IoT locks.
